4 Tips for a Successful Transition to Business Central

Dynamics 365 Business Central (formerly Dynamics NAV) launched in April 2018 as Microsoft’s next-generation, cloud-powered enterprise resource planning (ERP) solution. Its modern technology, tailored features, and agile interface has established it as the ERP software-of-choice for many small-to-mid-sized businesses (SMBs).

For other SMBs still operating the Microsoft legacy ERP platforms like, Dynamics GP, Business Central’s distinct advantages—mobile access, application integration, custom add-ons, reporting capabilities, seamless version upgrades and affordability—are convincing evidence that migration is a smart choice. Even better, since July 2019, Dynamics GP customers with an active enhancement plan can now transition to Business Central’s on-premise solution with a License Metric Tool (LMT) upgrade.

If you have made the decision to switch from Dynamics GP to Business Central, review these tips for transition success. We have observed that failure to plan effectively could result in a longer migration runway, unnecessary costs, and lack of internal adoption.

1.)    Identify project goals. “Migration” describes importing data from one system to another. Although this is the common term used for the transition from Dynamics GP to Business Central, your SMB will undergo a system reimplantation. Such widespread change affects many of your organization’s key functions such as IT, business intelligence, finance, accounting, sales, and marketing. Document critical business processes that the change will touch. This step serves as a project launching pad by assessing the current state of the organization and identifying opportunities to increase process efficiency.

2.)    Encourage buy-in from stakeholders. To ensure the change is successful, involve all affected stakeholders before reimplementation. Communicate new system features and describe clearly how each step of the transition will impact the organization. Ask for feedback along the way to determine whether current processes and systems can remain intact or require upgrades or replacements in the new platform. Finally, prioritize stakeholder requirements while setting realistic expectations for what Business Central will and won’t accomplish.

3.)    Work smarter, not harder with transition tools. Microsoft provides a variety of tools for a seamless migration from Dynamics GP to Business Central. Like Dynamics GP’s Integration Manager and Rapid Start, Business Central offers a Rapid Start Services toolkit. Even simpler, pre-configured Excel import processes can move most of the data sets to Business Central. During the transition, you can export data from a list page to Excel, where the application reviews it using extensive data analysis tools. For maximum efficiency, Excel’s reporting and charting functionality allows you to create a report in minutes. This painless data transfer process is one of the benefits of Business Central’s synchrony with Office 365.

4.)    Find a trusted partner. Migration from Dynamics GP to Business Central requires guidance and support from an expert who understands the nuances of the transition and can anticipate any challenges before they arise. Seek a Microsoft Cloud Solution Provider who can ensure comprehensive assessment, design, deployment, and support services for all Office 365 cloud-based applications. The ideal partner is well-versed in Dynamics GP and Business Central, acts as a single licensing point of contact, and can support all Microsoft service integrations with Business Central.
